Position Summary
RISE Services is seeking a motivated and detail-oriented Temporary Part-Time Administrative / Program Assistant to provide administrative and program support to our leadership team. This position is ideal for someone who enjoys organization, technology, and helping ensure daily office operations run smoothly.
This is expected to be a temporary assignment of approximately 20 hours per week. However, based on organizational needs and employee performance, there may be opportunities for longer-term employment.
Essential Duties and Responsibilities
The Administrative / Program Assistant will assist with a variety of administrative and program support activities, including but not limited to:
- Organize, scan, file, and maintain electronic and paper records.
- Prepare, update, and format program documents.
- Draft document templates, forms, and administrative materials.
- Contact clients by telephone to schedule appointments and follow up regarding required documentation.
- Coordinate meetings between staff and clients.
- Answer incoming telephone calls and direct calls appropriately.
- Welcome visitors to the office in a professional manner.
- Assist with data entry and maintaining client information in agency software systems.
- Learn and utilize agency software programs through provided training.
- Assist with quality assurance activities, document organization, and compliance-related tasks.
- Support leadership with special projects and administrative assignments.
- Perform general office duties including copying, scanning, mailing, and other clerical functions.
- Maintain confidentiality of client and organizational information.
Minimum Qualifications
- High school diploma or GED required.
- Associate's degree or coursework in business, administration, human services, or a related field preferred.
- Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
- Comfortable learning new software and technology.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Professional telephone etiquette.
- Ability to work independently while managing multiple priorities.
- High attention to detail and accuracy.
- Ability to maintain confidentiality.
Preferred Qualifications
- Previous administrative assistant, office assistant, receptionist, or program support experience.
- Experience working in a nonprofit, healthcare, vocational rehabilitation, or human services environment.
- Experience with electronic records or case management systems is a plus.
Physical Requirements
- Ability to sit for extended periods while working at a computer.
- Occasionally lift or move office materials up to 25 pounds.
- Ability to perform general office tasks including filing, scanning, and organizing documents.
Schedule
- Approximately 20 hours per week.
- Flexible weekday schedule.
- Position requires working in the Dumfries office.
- No evenings or weekends are anticipated.
